Draft — pending solicitor review. This is a plain-English draft. It isn't legal advice yet and isn't final until a solicitor has reviewed it.
This notice explains what personal data we collect, why, who we share it with, how long we keep it and what your rights are. We keep data to the minimum we need.
1. Who we are
Glossy Data (entity details to be published) is the controller of your personal data. Company number and registered office: entity details to be published.
For anything about privacy, email hello@glossydata.com.
If you're an agency client whose data an agency has added to Glossy Data, the agency is the controller and we act as its processor. See our data processing agreement.
2. What we collect
- Account details: your name, email address and sign-in information.
- Business details: your business name, website, address or town, trade, and any competitors you add.
- Tracked questions: the questions you ask us to track, and the locations they're asked from.
- AI answers: the answers AI engines give to those questions. These can name other businesses and sometimes people, such as sole traders.
- Billing: your plan, invoices and billing address. Stripe handles payments. We never see your full card number.
- Free check leads: the email address you give us, the business you checked, and your marketing choice exactly as you gave it, with the date.
- Usage analytics: simple first-party counts of page views and actions. These use an identifier made by hashing with a salt that changes every day, so we can't link your visits across days or back to you.
- Messages: anything you send us by email.
3. What we don't do
- We don't store IP addresses. To stop abuse of the free check we keep a salted, one-way hash of an IP address for up to 48 hours (it can't be turned back into the address), then delete it. Rate limiting otherwise happens in memory.
- We don't sell personal data, or share it for advertising.
- We don't use advertising trackers or third-party analytics cookies. See our cookie policy.
4. Why we use it, and our lawful bases
| Purpose | Lawful basis |
|---|---|
| Running your account, tracking your questions and producing reports | Contract |
| Taking payments and keeping billing records | Contract and legal obligation (tax law) |
| Running the free check and sending you its results | Legitimate interests (giving you what you asked for) |
| Collecting and storing AI answers that name other businesses | Legitimate interests (showing customers what AI engines say) |
| Preventing abuse, fraud and bot traffic | Legitimate interests (keeping the service safe and affordable) |
| Simple usage analytics to improve the product | Legitimate interests |
| Service emails, such as receipts, alerts and renewal reminders | Contract |
| Marketing emails | Consent |
We only send marketing emails if you opt in. We confirm your opt-in by email first (double opt-in). Every marketing email has a one-click unsubscribe link.
Where we rely on legitimate interests, we have weighed them against your rights. You can object at any time (see “Your rights” below).
5. Who we share it with
We use these service providers (processors) to run the service. Each has a contract with us that limits how they can use data.
| Provider | What they do for us | What they receive | Where | When we use them |
|---|---|---|---|---|
| Cloudflare | Hosting, database, background jobs, bot protection (Turnstile), text analysis (Workers AI), routing of AI API calls (AI Gateway) and email sending | All service data, as our host | Global network; US company | Always |
| Stripe | Payments, invoices and subscriptions | Name, email, billing address, payment details. We never see your full card number | UK, EU and US | When you buy a plan |
| DataForSEO | Collects answers from ChatGPT, Gemini, Google AI Overviews and Google AI Mode, as the public sees them | The questions we track and the locations they're asked from. Not your personal data | Location: see DataForSEO's privacy policy | Always (every plan and the free check) |
| Anthropic | Claude API: Claude answers (with web search), and quality checks on a small sample of answer analysis | The questions we track, the location they're asked from and the text of AI answers | US | Always on paid plans |
| Perplexity | Sonar API: Perplexity answers (with web search) | The questions we track and the location they're asked from | US | Always |
| xAI | Grok API (with web search): Grok answers | The questions we track and the location they're asked from. Not your personal data | US | When Grok is configured on our service. It is not opt-in per organization: while configured, it receives the questions of every project that tracks Grok |
| DeepSeek | DeepSeek API: DeepSeek answers from model knowledge (no web search) | The questions we track and the country they're asked from. Not your personal data | People's Republic of China | When DeepSeek is configured on our service. It is not opt-in per organization: while configured, it receives the questions of every project that tracks DeepSeek |
| OpenAI | Optional ChatGPT developer-API lane, for comparison with consumer ChatGPT answers | The questions we track and the location they're asked from | US | Not in use: no OpenAI connection is switched on today. Consumer ChatGPT answers come through DataForSEO |
| Google sign-in, and the Search Console and Analytics APIs when you connect them | For sign-in, your Google account name and email. For connected properties, access tokens and the search and analytics data you choose to connect | US company; global infrastructure | Only when you sign in with Google or connect a Google property | |
| Resend | Transactional email, only as a backup to Cloudflare email sending | Your email address and the email content | US | Off today. Switched on only if Cloudflare email sending fails |
Consumer ChatGPT and Google AI answers are collected through DataForSEO, so we don't send your questions to OpenAI or Google for them, and we never send them your personal data. Integrations you connect yourself (such as your identity provider for SSO) receive data on your instructions; they are your providers, not our sub-processors.
We may also share data if the law requires it, or with professional advisers, or as part of selling or reorganising our business. If that happens, this notice will continue to protect your data.
6. International transfers
Some providers are based in, or access data from, the US and other countries outside the UK.
When we transfer data outside the UK, we use a recognised safeguard. That means the UK Extension to the EU-US Data Privacy Framework where the provider is certified, or the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
You can ask us for details of these safeguards at hello@glossydata.com.
7. How long we keep it
| Data | How long |
|---|---|
| Account data | For the life of your account, plus 30 days |
| Billing records | 6 years, as HMRC requires |
| Free check results and leads | 12 months |
| Raw AI answers | 13 months, for trend history. After that we keep only aggregated figures |
| Server and security logs | 30 days |
| Workspace audit log (sign-ins, settings, API keys, SSO, billing changes) | 365 days on Enterprise plans, 90 days on other plans |
| Marketing consent records | As long as you're subscribed, plus 2 years as proof of consent |
Draft: these retention periods are proposals and will be confirmed before launch.
8. Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- have it corrected if it's wrong;
- have it erased;
- restrict how we use it;
- object to our use of it, including for marketing;
- receive it in a portable format;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email hello@glossydata.com. We'll reply within one month. It's free.
If an AI answer we've stored mentions you and you'd like it removed, email hello@glossydata.com and we'll look at it promptly.
9. Complaints
If you're unhappy, please send us a written complaint by email to hello@glossydata.com first. We reply in writing and will try to put it right.
You can also complain to the Information Commissioner's Office (ICO): ico.org.uk or 0303 123 1113.
10. Security
We encrypt data in transit and at rest, and limit staff access to what's needed. No system is perfectly secure, but we'll tell you and the ICO promptly if a breach puts your data at risk.
11. Children
Glossy Data is a business service and isn't meant for anyone under 18. We don't knowingly collect children's data.
12. Changes to this notice
We'll update this notice when our practices change, and change the date at the top. If a change matters, we'll email account holders before it takes effect.
